MSMES AND GROWING BUSINESSES

Spend less time chasing work. Build a business that can grow.

Most growing Jamaican businesses are not held back by strategy. They are held back by admin that only the owner can do, records nobody can find quickly and follow-up that depends on somebody remembering. NSDS helps you fix the handful of processes that cost you the most, in an order you can afford.

Common challenges

If any of this sounds familiar, you are in the right place

These are the patterns we find most often when we sit down with an owner-managed business that has outgrown the way it started.

The business runs through one person

Quotes, approvals, pricing decisions and client history live in the owner’s head, phone and inbox. Nothing moves when that person is unavailable, and the business cannot take on more work without taking on more chaos.

Enquiries go cold

Leads arrive through WhatsApp, Facebook, email, phone and walk-ins. There is no single list, so follow-up depends on memory and the quiet ones get forgotten. You are losing work you already paid to attract.

Nobody can find the record

Invoices in one folder, job photos on a phone, client details in a notebook, supplier prices in a chat thread. Answering a simple question takes fifteen minutes of searching.

You cannot see the numbers until it is too late

Cash position, outstanding invoices, job profitability and stock are reconstructed at month end, if at all. Decisions get made on feel because the figures arrive after the moment has passed.

The website does not bring in work

The site exists, but it is slow, dated, hard to update and invisible in search. Buyers who look you up before calling form the wrong impression and go elsewhere.

Growth makes it worse, not better

Every new client, staff member or location adds more manual handling. The business gets busier without getting more profitable, because the process does not scale.

What good looks like

What changes when the basics are in place

This is what the same business looks like once the priority processes are digitised and connected.

Every enquiry lands in one placeOne list, one owner, one follow-up rhythm, whether the enquiry came from Instagram or the front counter.
Quoting stops being a bottleneckStandard pricing, reusable templates and approval steps mean a quote goes out the same day rather than the same week.
The owner stops being the systemDocumented processes and role-based access let a manager or an administrator run the day without escalating everything.
You see the position weeklySales, outstanding invoices and job status are visible without anyone building a spreadsheet first.
The website earns its keepFast, current, findable and easy for your own team to update, with a clear route from interest to enquiry.
Records survive staff turnoverClient history, documents and job files stay with the business rather than leaving with the person who kept them.
Our solution

Three practical pathways for a growing business

You do not need everything at once. Most MSMEs start with one of these, prove the value, then extend. Each pathway is scoped to a defined budget and a defined result.

Get the admin off paper

Take the two or three processes that cost you the most time, job intake, quoting, invoicing, client records, and move them into a system your team can actually use.

  • Process mapped before anything is built
  • Forms, records and documents in one place
  • Roles and permissions so the right people see the right things
  • Training and written procedures for your team

Automate the chasing

Stop relying on memory for follow-up, reminders, approvals and status updates. The system does the chasing so your team does the work.

  • Enquiry capture from every channel into one list
  • Automatic follow-up and reminder sequences
  • Approval routing with a record of who approved what
  • Alerts when something is overdue

Make the website a sales channel

A fast, current, search-ready site on managed hosting, with the marketing to bring the right people to it and a clear path from interest to enquiry.

  • Site rebuilt around what buyers check before calling
  • Managed hosting, backups, updates and monitoring
  • Search and generative search visibility
  • Enquiries tracked, not just clicks

Econo had two decades of trading reputation and a catalogue that buyers could not search. We restructured five hundred-plus products around how walk-in shoppers, corporate accounts and school buyers each actually buy, so the website started doing work the counter used to absorb.

Before you commit

The honest answer on cost, disruption and risk

It will not stop your operation

We run the new process alongside the old one until your team is confident. Nothing is switched off on a date somebody picked in a meeting.

It is staged, so it is affordable

The first phase is deliberately small enough to fund from operating cash and useful enough to justify the next one. You are not signing up for a twelve-month programme.

Your existing systems usually stay

If your accounting package works, we connect to it rather than replace it. Replacing something that works is expensive and rarely necessary.

You own everything we build

Code, data, domains, accounts and documentation are yours. You can take them to another supplier whenever you choose.

Get started

What happens when you get in touch

1
You tell us what is costing you time

A short conversation about the operation, not a sales pitch. Bring the process that annoys you most.

2
We tell you where we would start

Usually one process, with a rough cost range and a rough timeline, so you can decide without commissioning anything.

3
You choose the pace

A focused first project, a full assessment if the picture is unclear, or nothing at all if now is not the moment.

What the consultation covers

Start with a conversation about your current operation. We will discuss what is not working, what you need to achieve, the systems you already use and any delivery constraints. The next step may be an assessment, a focused project or a phased implementation plan.

FREQUENTLY ASKED QUESTIONS

Common questions from msmes and growing businesses

We are small. Is this affordable for a business our size?

Yes, because we scope it that way. A first phase for an MSME is usually a single process rather than a whole platform, and we give an indicative range in the first conversation so you can decide before spending anything. If your budget does not support a sensible first phase yet, we will tell you that rather than sell you a thin version of something.

We already use QuickBooks and WhatsApp. Do we have to change everything?

No. Systems that work stay. We connect to your accounting package and keep the channels your customers already use, then remove the manual copying between them. Replacing working software is expensive and usually unnecessary.

How disruptive will this be for the team?

Less than you expect if it is staged properly. We map the current process first, build alongside it, train your people on the real system with real data, and only retire the old way once the new one is carrying the work. Most MSME first phases are measured in weeks, not quarters.

What happens after it is built? We do not have IT staff.

That is the normal situation and it is why we offer managed support. Hosting, backups, updates, monitoring and a route to a human are available as an ongoing service, so nobody in your team has to become the accidental IT manager.

How do we know it will actually get used?

Because we design it around the way your team already works instead of asking them to change to suit the software, and because we train on live data before go-live. Adoption failures almost always trace back to a system designed for a process nobody follows.
